When you see Uses AI. Verify results. in the MyCarTracks AI Assistant, treat the answer as a helpful shortcut, not as the final source of truth. Before you rely on the answer, confirm it against the actual MyCarTracks report, track detail, vehicle, or draft record.
For a general overview of what the assistant can do, see Use the MyCarTracks AI Assistant.
Quick answer
Use the assistant to get to the right page, number, or draft faster. Then verify the result in MyCarTracks before using it for tax, reimbursement, payroll, invoicing, customer billing, or other business decisions.
The best verification habit is simple:
- Open the link or draft the assistant gives you.
- Check the vehicle, driver, fleet, date range, and filters.
- Compare the answer with the visible report, exported report, or track detail.
- Save or share the result only after the data matches.
What “Verify results” means
The assistant generates an answer from your question and the context available to it. It may summarize, estimate, prepare a draft, or point you to a MyCarTracks page. That answer can still be incomplete or wrong.
Verification means checking the assistant output against the underlying record before you use it outside the chat.
What to verify
Different assistant tasks need different checks.
If the answer is about a specific track, vehicle, customer, job, expense, geofence, or other record, IDs make verification easier. Turn on Display IDs and include the ID in your question when possible. See Show IDs when using the AI Assistant.
Reports and mileage totals
If the assistant gives you a mileage total, reimbursement amount, report link, or Log Book link:
- Open the report.
- Check the selected vehicle, driver, or fleet.
- Check the start and end dates.
- Check business, personal, reviewed, vehicle, and other filters.
- Confirm units, currency, mileage rate, and report options.
- Compare the assistant answer with the visible total or exported report.
For mileage totals, the Log Book and mileage reports are the source of truth.
Fleet setup
If the assistant helps you create a fleet or check whether it is ready for reporting:
- vehicles are named clearly
- drivers are assigned to the right vehicles
- access and sharing settings match your team
- reporting basics are configured
- the right account or fleet is selected
Do not rely on mileage reports until the fleet setup is correct.
Reconstructed trips, days, and months
The assistant can help rebuild missing trips from memory, customer visits, regular schedules, calendars, receipts, or repeated work patterns. It can also help create a customer round trip or draft a month of estimated trips.
Treat these as drafts. Before saving or reporting them, check:
- date and time
- route or stops
- distance
- vehicle
- business or personal category
- purpose note
- supporting evidence, such as receipts, calendar events, or customer visits
If a reconstructed trip is an estimate, keep the supporting evidence with your records.
Actions that change data
If the assistant prepares an action that creates or updates data, review the details before confirming. This applies to reconstructed trips, fleet setup changes, category changes, purpose notes, and any bulk update.
Why answers can differ
Assistant results depend on the context available at the time. An answer can change depending on:
- how you phrase the question
- which vehicle, driver, or fleet is selected
- the date range used
- whether tracks have synchronized recently
- whether reconstructed trips are estimates or saved records
- which records your account can access
- which filters are applied
- missing or edited track details
Use extra care with business-critical answers
Always verify AI answers before using them for:
- tax filing or tax estimates
- mileage reimbursement
- payroll or employee payments
- customer billing
- invoices or job costing
- compliance records
- deleting, editing, or bulk-changing data
The AI Assistant is not a tax, legal, accounting, or payroll advisor. If an answer affects an official filing, payment, policy, or customer record, verify it in MyCarTracks and review it with the appropriate advisor.
Ask specific questions
Specific questions are easier to answer and easier to verify. Include the vehicle, date range, and the exact result you want.
Examples:
Show my business mileage for Toyota Prius in July 2026.Give me a Log Book link for Skoda Kodiaq for calendar year 2025.Find unreviewed business tracks for this month. What was the total distance for vehicle 227 from January 1 to December 31, 2025?
If the answer looks wrong, ask a narrower follow-up question or open the linked report and adjust the filters manually.
If several records look similar, include the record ID in your follow-up. See Show IDs when using the AI Assistant.
Share with care
Before sharing an AI-generated answer with a customer, employee, accountant, or tax preparer, check the underlying report. If you share a number, link, or summary, make sure it matches the report you intend to rely on.
If an answer is wrong
- Open the linked MyCarTracks page and check the filters.
- Rephrase the question with exact dates and vehicle names.
- Ask the assistant for the report link instead of only the summary.
- Check that the mobile app has synchronized the latest tracks.
- Check that your account has permission to view the vehicle or report.
- If the official report and the assistant answer still do not match, contact MyCarTracks support and include the question you asked, the answer you received, and the report link you used to verify it.
The fastest way to get a reliable answer is to use the assistant to open the right report, then confirm the final value inside MyCarTracks.
