You can ask it to find reports, summarize mileage, help with fleet setup, create filtered links, and prepare draft records for missing trips. Use it as a guided shortcut inside MyCarTracks. For important results, always verify the final data before saving, sharing, or using it for business records. See [Verify AI Assistant results](https://community.mycartracks.com/t/verify-ai-assistant-results/441) for the verification checklist. ## Open the assistant You can open the standalone MyCarTracks AI Assistant at [https://mycartracks.com/assistant](https://mycartracks.com/assistant). When you connect the assistant to your MyCarTracks account, you may be asked to allow access. Review the permissions before continuing: - **assistant:chat** lets you chat with the MyCarTracks AI Assistant. - **read** lets the assistant read tracks, vehicles, reports, and other supported records that your account can access. - **write** lets the assistant create or update data only after an explicit confirmation. If you are not comfortable with the requested access, choose **Deny**. If you allow access, review important outputs before saving changes, creating reports, or sharing results. ![MyCarTracks AI Assistant account access screen|1180x1572](upload://aYAaeAbWUZx7bQmGaoYRPCvKjBH.jpeg) ## What it can help with Use the assistant for tasks such as: - setting up vehicles, drivers, access, and reporting basics - finding a Log Book or mileage report - creating a link with a vehicle or date filter - summarizing mileage totals - finding tracks that need review - explaining where to adjust report options - rebuilding missing trips from memory, receipts, customer visits, or regular schedules - creating draft trips for a day, week, or month based on work patterns - building a customer round trip with optional stops - checking whether a fleet setup is ready for reporting The assistant is most useful when it gets you to the right setup step, report, or draft quickly. The final data should still be checked in MyCarTracks. ## Common workflows ### Create My Fleet Use this workflow when you are setting up MyCarTracks for the first time or cleaning up an existing account. The assistant can help you think through vehicles, drivers, access, and reporting basics. Before relying on reports, confirm that vehicles are named clearly, drivers are assigned correctly, and sharing or access settings match your team. ### Find reports and mileage totals Ask for a Log Book, mileage report, business mileage total, or a report link for a specific vehicle and date range. Good examples: - `Give me a Log Book link for Skoda Kodiaq for calendar year 2025.` - `Show business mileage for Toyota Prius in July 2026.` - `Find unreviewed business tracks for this month.` Open the report link and confirm the vehicle, date range, filters, mileage rate, and totals. ### Reconstruct missing trips The assistant can help create draft trip records from memory, customer visits, regular schedules, calendars, or receipts. This is useful when you forgot to record a trip or need to rebuild a workday. Treat reconstructed trips as drafts until you review the date, time, route, distance, vehicle, category, and purpose note. ### Reconstruct a month If your work pattern is regular, the assistant can help draft a month of estimated trips. This can save time, but it needs careful review. Check each estimated trip against your calendar, receipts, customer visits, or other supporting evidence before using the records for reimbursement, tax, payroll, or billing. ### Trips from receipts Receipts can provide clues about dates, stops, and business purpose. The assistant can help turn receipt details into draft trip records or questions to check. Receipts do not always prove the full route or distance by themselves. Keep supporting evidence with your records. ### Customer round trip Use this when you need a draft round trip to a customer location, with optional stops. Review the route, stops, vehicle, category, and purpose note before saving. ### Check Fleet For Reporting Use this before preparing mileage reports. The assistant can help look for missing setup that may affect report quality, such as missing vehicles, unclear driver assignments, or filters that hide records. ## Ask better questions Specific questions give better results. Include: - vehicle name or ID - driver or fleet, if relevant - exact date range - business or personal category - whether you want a report link, summary, or draft record Examples: - `Create a report link for Toyota Prius business trips from July 1 to July 31, 2026.` - `Help me reconstruct customer visits for July 7, 2026.` - `Check whether my fleet setup is ready for a mileage report.` - `Create a draft round trip to Acme Plumbing with a supply stop.` If you are asking about a specific track, vehicle, customer, job, expense, geofence, or other record, turn on **Display IDs** and include the ID in your question. See [Show IDs when using the AI Assistant](https://community.mycartracks.com/t/show-ids-when-using-the-ai-assistant/443). ## Before you save or share Review any assistant answer that affects real records. This is especially important when the answer will be used for tax filing, reimbursement, payroll, invoicing, customer billing, compliance records, or bulk changes.
